Terms and Conditions of Travel

Reservations and Payments

All prices are in US dollars and are per person. Payment can be made to Plant Expeditions via PayPal (2% fee applies) or via direct bank deposit.

An initial deposit/payment of $1500 per person to guarantee your place is required. Upon receipt of your deposit, we will email to confirm your reservation and provide further details of the tour no later than 60 days prior to departure (including packing suggestions, useful destination information, and a suggested reading list).

​

Balance of payment is due no later than 60 days prior to tour departure to guarantee your place on the tour. Failure to make payment of balance at this time will result in cancellation of your reservation.

​

Minimum Participants

We reserve the right to cancel any tour that does not meet the minimum number of participants (as shown on our website). If this cancellation should occur, you will receive a full refund of any monies paid.

​

The purchase of non-refundable services outside of tour itinerary (such as airline tickets and travel insurance) before a minimum number of guests have registered and the tour has been confirmed by us is at your own risk and expense. Please check in with us prior to your purchase.

Cancellation and Refunds

Please understand that places on tours are limited and some tours require advance payments for hotels, transportation, guides etc. If you must cancel, we respectfully request a minimum of 3 months’ notice. If you need to cancel your booking, please contact Plant Expeditions in writing immediately.

In the event of cancellation by you, any payment made may be partially refunded. Refunds are calculated based on the date we receive your written notice of cancellation, and the tour departure date. On a multi-participant booking, each person is charged a cancellation fee.

​

If you cancel your booking, we will retain an administration fee of $100 plus cancellation charges as follows:

  • 90 days or more in advance of the tour departure date will receive a 100% refund.

  • 61 to 89 days in advance of the tour departure date will receive a 50% refund of deposit.

  • 30 to 60 days in advance of the tour departure date will receive a 50% refund of full tour cost.

  • less than 30 days in advance of the tour departure date will not receive a refund.

Should your cancelled reservation be resold, a refund to you will only be considered once final payment for the resale has been received by Plant Expeditions.

Inclusions and Exclusions

Our tours are all inclusive. Tours include on-tour transportation, all accommodations, activities, experienced botanist and local guides, and meals.

​

Tours do not include international airfares to tour start and end points (people join from all over the world), they also do not include visas, passports, excess baggage charges, airport transfers, gratuities, personal items, communication expenses, alcohol, souvenirs and any other items not listed in the tour documents.

​

Accommodation

Hotel accommodation will be shown on the tour itinerary. Due to any circumstance, we reserve the right to substitute any hotel reservation for accommodation of equal quality.

​

Accommodation on tours is based on double occupancy. A single occupancy is paid for by participants who specifically request single accommodation, subject to availability. If you are traveling alone and are happy to share accommodations, we can try to match you with a roommate of the same gender to save the single occupancy charges.

​

Planned Activities

Every effort will be made to provide such activities as listed in the tour itinerary. Should unavoidable circumstances require changes, alternatives will be made at the discretion of Plant Expeditions, and local escorts/guides without financial compensation to tour members.

​

Physical Capabilities and Health

Plant Expedition tours may include a significant amount of walking, on uneven or unpaved surfaces, or steep pathways. Many of the places we will be visiting can only be seen on foot with no other access possible. Guests with limited mobility or health concerns that may impact mobility MUST consult Plant Expeditions prior to signing up for registration.

Participants are responsible for communicating with their own healthcare professional regarding any requirements for vaccinations, malaria prevention and any other health requirements for the tour destination.

Travel Documents

A passport valid for at least 6 months after the last date of the tour is required. Participants are responsible for any visa requirements and associated fees.

​

Baggage and Personal Items

Plant Expeditions is not responsible for loss, theft, or damage to your baggage or any other personal items. Personal travel insurance is strongly recommended to protect against such losses. Guests are responsible for any airline and government-imposed baggage regulations and fees.

Travel Insurance

We strongly encourage you to purchase travel insurance (for health and travel cancellation issues) as soon as you make your initial deposit and or pay for other travel arrangements such as airfares. Appropriate travel insurance can help prevent needless loss in case of serious illness, accident, or death of the traveller.

Responsibility Clause

Plant Expeditions – Guillermo Rivera (the “Operator”), acts only as agents for the various local companies involved in the provided tour services. They assume no responsibility or liability in connection with the service of any means of conveyance which may be used either whole or in part in the performance of its duty to the passenger. Likewise they will not be responsible for any act, error or omission or for any personal injury, damage, loss, accident, delay, irregularity or inconvenience which may be occasioned by reason of any defect in vehicles, or through any act, neglect or default, or any company or person engaged in carrying out the purpose for which tickets or coupons are issued, whether negligent or not, including, but not limited to, any act of God, terrorism or war.

In the event it becomes necessary or advisable for the comfort or well-being of passengers, or for any reason whatsoever, to alter itinerary or arrangements, such alterations may be made without penalty to the Operator. The right is reserved to withdraw from any or all tours should conditions warrant, also to decline to accept or retain passengers as members of the tour.

Legal proceedings against the Operator may be instituted only in a State or Federal Court within the County of Sarasota, State of Florida, and any claim involved in such proceedings shall be decided in the County of Sarasota, State of Florida. Any legal proceedings against the Operator must be commenced within one year following the date of tour completion. The Operator shall not in any case be liable for compensatory damages and you hereby waive any right to punitive damages.
